Booking tours in Japan: what to check before you pay
Seven things to check on the product page before you book a guided tour or activity in Japan online. What each booking site says is quoted from its own help pages; anything they do not state is left as a question for you to check.
Where these facts come from
The facts below come from Viator's own help pages for partners and travel agents, which explain how bookings, vouchers and product pages work on viator.com. Other booking sites and individual tours can work differently; the product page and your voucher are what count.
1. Is the booking confirmed straight away?
- Viator says most products in its catalogue are “instant confirmation”, meaning they are confirmed immediately. Some products need manual confirmation and stay “pending” until the tour supplier accepts or declines the booking.
Check before you pay
- Does the product page or checkout say the booking is confirmed instantly, or that the supplier must confirm it?
- If it is pending, are you holding other plans for that day until it is confirmed?

2. What are the cancellation terms?
- Each experience has its own cancellation policy. On the product page it is in the “Cancellation policy” section, one of the sections after “Overview”.
- Some experiences offer “Reserve Now & Pay Later”; eligible ones show it directly below the Check Availability button. Viator says the main difference from a free-cancellation booking is when your card is charged: with Reserve Now & Pay Later, two days before the activity begins; with any other booking, immediately upon booking. With Reserve Now & Pay Later the ticket is only available once full payment has been made.
Check before you pay
- Until when can you cancel for a full refund, and what happens after that point?
- Does the policy apply per person or to the whole booking?
- What happens if the supplier cancels, for example because of weather?

3. How do you show your voucher?
- The voucher acts as your ticket and proof of purchase. Viator describes two voucher policies: “Paper voucher required” (the exact voucher must be printed) and “Mobile voucher required” (an electronic copy is accepted; a printout is not required).
- The voucher is presented together with valid photo ID, and a traveller may not be allowed to join without it. Viator says the provider will likely require photo ID such as a passport, driver's licence or other official ID of the lead traveller.
- Where to redeem the voucher, and the supplier's contact details, are on the voucher under the heading “Important Information”.
Check before you pay
- Does this product need a printed voucher, or is a phone screen accepted?
- Is the name on the booking the same as on the lead traveller's passport?

4. What does the price include, and what not?
- Viator's booking guide lists “Inclusions / Exclusions” among the details each product page shows. The page itself is the place to check; Viator's help pages do not give a general rule.
Check before you pay
- Does the price include entrance fees to temples, museums or gardens on the route?
- Are meals, drinks or tea ceremonies included, or paid on the day?
- Is transport between stops included, and is it a coach, taxi or public transport?
- Is the price per person or per group?
- Source: Making a Booking (Viator Agent Resource Center) · Verified on · Guide for Viator's travel-agent site; lists the details each product display page shows, including Departure and return logistics, Inclusions / Exclusions and Cancellation Policy.
5. Where does it start, and is there a pickup?
- The meeting point is on the product page under “Departure and Return – Departure Point”, with extra details sometimes under “Additional Info”.
- If a tour offers hotel pickup, the available pickup points are shown at checkout. Airport pickup is listed under “Additional Info” only when a tour offers it; if nothing is said about a pickup service, the tour does not offer it.
Check before you pay
- Is your hotel on the pickup list, or do you need to get to the departure point yourself?
- How long will it take you to reach the departure point from where you are staying that morning?

6. Do you need to reconfirm?
- Viator says reconfirming in advance is mandatory for some products and recommended for others, for example to agree the time and place of a hotel pickup. The voucher gives the instructions and the operator's contact numbers.
Check before you pay
- Does the voucher say reconfirmation is required, and by when?
- Will you have a working phone or data connection in Japan to do it?

7. Which language is the tour in?
- Viator says that when a tour is available in languages other than English, they are mentioned in the “Additional Info” section of the product page.
Check before you pay
- Is the guide live, or is commentary given by audio guide or printed notes?
- If you need another language, is it listed on the product page for your date?

JR Pass, accommodation tax and tax-free shopping
- JR Pass. If a day trip includes train travel, check whether the fare is part of the tour price. If you hold or are considering a JR Pass, the JR Pass calculator shows whether the pass pays off for the Shinkansen legs you plan to ride yourself.
- Accommodation tax. If a tour or package includes an overnight stay, local accommodation tax may apply. It may already be included in what you paid a booking site or travel company, or you may be asked to pay it at the front desk; check with the property. The accommodation tax calculator shows the official rates by city.
- Tax-free shopping. Japan's tax-free system is about goods you buy in shops and take out of Japan. Our tax-free guide explains the refund-style system that starts on 1 Nov 2026. For a tour, check on the booking page whether the price shown includes all taxes and fees.
